Nairobi Feline Sanctuary, referred to in this policy as “NFS”, “we”, “us” or “our”, respects your privacy and is committed to handling personal information responsibly.

This policy explains what information we collect through the NFS website, how we use and protect it, when it may be shared and the rights available to you.

When you contact NFS or submit a website form, we may collect:

  • Your organisation, role or group details

  • Information about your household, animals or proposed placement
  • Details, photographs or videos submitted with an animal-welfare report
  • Information relating to visits, partnerships, volunteering, adoption, TNVR or Paka Mkazi

Please provide only information that is accurate, relevant and necessary for the enquiry or application.

Do not submit another person’s private information, photographs or documents unless you have their permission or another lawful reason to do so.

NFS may use personal information to:

  • Receive, assess and respond to enquiries
  • Process TNVR, rescue, Paka Mkazi, adoption, visit and partnership applications
  • Assess the suitability and safety of proposed homes, properties or placements
  • Coordinate veterinary care, transport, visits and animal-welfare activities
  • Maintain animal, applicant, donor and programme records
  • Process donations and provide payment acknowledgements
  • Communicate about an application, report, sponsorship or existing case
  • Protect animals, visitors, staff, volunteers and sanctuary property

  • Send news or fundraising updates where you have agreed to receive them

We will not use personal information for an unrelated purpose without an appropriate reason or additional consent where required.

Photographs, videos and location information

Animal-welfare reports may contain photographs, videos, addresses or other information that could identify a person or property.

NFS will use this material to assess and respond to the report. We will not ordinarily publish a person’s name, private contact details, exact home address or identifiable photograph without permission, unless disclosure is required by law or necessary to address a serious welfare or safety concern.

Public communications may use edited, anonymised or location-limited information to protect individuals, animals and properties.

When information may be shared

NFS may share relevant information with:

  • Authorised NFS staff or volunteers
  • Veterinary professionals and animal-care providers
  • Approved rescue, welfare or placement partners
  • Website-hosting, form-management and communication providers
  • The external adoption platform
  • Payment, banking or donation-service providers
  • Professional advisers, auditors or funders where appropriate safeguards apply
  • Public authorities where disclosure is required by law or necessary to address a serious welfare or safety matter

We will share only the information reasonably required for the relevant purpose.

NFS does not sell personal information.

External platforms and links

The website may link to external services, including the adoption app, payment providers and social-media platforms.

Those services may collect and process information under their own privacy policies. Please review the relevant policy before submitting information through an external platform.

Some service providers may store or process information outside Kenya. Where this occurs, NFS will take reasonable steps to use appropriate providers and safeguards in accordance with applicable law.

Cookies and website information

The website may use essential cookies or similar technology required for security, form operation and basic website functions.

If optional analytics, advertising or marketing cookies are introduced, visitors should be given clear information and an appropriate choice before those cookies are activated.

How long we keep information

NFS will retain personal information only for as long as it is reasonably required for the purpose for which it was collected and for any applicable legal, financial, safeguarding or animal-welfare obligations.

Adoption, placement, donation, financial and animal-welfare records may need to be retained for longer periods to protect animals, maintain accountability or comply with legal requirements.

When information is no longer required, we will take reasonable steps to delete, anonymise or securely dispose of it.

Information about children

Adoption applicants must be at least 21 years old. Other website forms should normally be completed by an adult.

Where information about a child is required for an educational visit or other approved activity, it should be submitted by a parent, guardian, school or authorised group representative.

Please do not submit unnecessary names, photographs, medical information or other personal details about children.

How we protect information

NFS takes reasonable administrative, technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

Access should be limited to people who need the information for an approved purpose. However, no website, email or online storage system can be guaranteed to be completely secure.

Your rights

Subject to applicable law, you may have the right to:
